Facilities Assistant
Full time, Costa Rica
The Facilities assistant supports the center by planning, organizing, and implementing administrative systems, policies and procedures. Responsible for ensuring businesses run smoothly via administrative support. Preside over facilities management, Security management, cafeteria and other facets of administration.
As Facilities Assistant, you will
- Help create a welcoming and efficient workplace by supporting day-to-day facilities and office operations.
- Manage accommodation and office space needs, including coordinating building maintenance and supporting office improvement projects.
- Respond to internal service requests and assist with purchasing and vendor coordination.
- Support meetings and events by arranging room setups and catering for guests and VIP visitors.
- Provide front-desk support, including handling phone inquiries and maintaining office contact information.
- Coordinate incoming and outgoing mail, courier services, and delivery records.
- Support workplace health and safety initiatives, including coordinating training and maintaining compliance records.
- Collaborate with colleagues across the business to ensure smooth office operations and an excellent employee and visitor experience.
- Take on additional responsibilities and projects as needed to support the team and business objectives.
About you
- Strong organizational and multitasking skills.
- A proactive, customer-service mindset with excellent communication skills.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Flexibility and willingness to support a variety of office and facilities-related activities.

Previous experience in an Executive Assistant, Administrative Assistant, Office Coordinator, or related support role.

Familiarity with procurement, accounts payable, and vendor management processes.
- Intermediate English required, with the ability to communicate effectively in person, emails, meetings, and phone conversations.
