Project Manager, Meetings & Events (Hybrid)
Full time, Warsaw, Poland
The Project Manager, Meetings & Events is responsible for the development, planning, and overall operational execution of meetings, conferences, conventions, incentive travel programs, and special events for customers. The Project Manager, Meetings & Events works on various programs simultaneously and serves as the day-to-day planning contact for each respective client. The Project Manager is responsible for the day-to-day client contact and program planning functions, overseeing website development, attendee management, and final program billing.
As a Project Manager, Meetings & Events you will

Source and contract venues for local & global clients

Work with client to develop, coordinate and implement travel program agendas and itineraries

Develop and conduct site inspections as required and follow up with the site inspection notes, revised estimate budget, program itinerary, and timeline

Negotiate and purchase ground transportation, entertainment, and decor elements via preferred vendors

Act as the primary contact with the client , providing a consultative approach to program planning, ensuring the client has identified clear objectives for the meeting, conference, or program, and determining steps to achieve these objectives.

Prepare all documents related to the proposal, selected services, and execution

Ensure timely post-event reconciliation, payment of vendors, and invoicing to clients
About you

A history of success in planning corporate meetings for a meetings management organization or travel management company

English and Polish language proficiency

Skilled user of Microsoft Office, with experience in the use of Cvent being a bonus

Systematic, meticulous, organized work

You own the room and convey confidence, knowledge of best practices in meetings & events, and a professional presence as a first impression and ongoing

Talented in managing multiple priorities and being adaptable. You have exceptional problem-solving skills, are calm under pressure, and work well in a collaborative environment
