Housing Manager (Remote)

Full-time, United States 

 

The Housing Manager assists with all aspects of attendee management, rooming list management communication, and attendee reporting. This position aids the client in planning successful meetings and events by managing the registration process while maintaining a high level of customer service to the client and meeting attendees.


Key responsibilities include sending rooming lists to hotels by the date specified in the hotel contract and in the format required by the hotel. The coordinator performs quality control checks of hotel-generated rooming lists and communicates necessary corrections. The role also involves proactive management of housing-related issues, including:

 

  • Monitoring and communicating all potential attrition liabilities as the hotel cut-off date approaches
  • Identifying possible housing shortages and determining appropriate actions (e.g., closing the event website, securing additional hotel blocks)
  • Releasing unused rooms and managing placeholder reservations
  • Addressing any special attendee or client housing requests

 

Strong communication, attention to detail, and time management skills are essential, along with a commitment to exceptional customer service and accuracy in all registration and housing processes.

 

As an Housing Manager, you will

  • Manage all aspects of the room block, including but not limited to exercising attrition, securing additional rooms, and rooming list accuracy
  • Support the Registration Managers in all aspects of the website design, build and maintenance of registration websites for each assigned event in CVENT, keeping a close eye on details and client-led changes to the site
  • Understand Client Brand and how to ensure sites are in compliance
  • Backup support for troubleshooting registration issues and answer questions that program managers or clients may have while helping with the day-to-day registration of the program
  • Develop and maintain relationships with meeting contacts to ensure repeat and new business
  • Monitor attendee registration process and update client as needed
  • Help identify travel parameters and liaison with the Meeting Air Coordinator for arranged air travel, and serve as an escalation point between the air team and client for approvals on any flights outside meeting parameters

 

About you

  • Prior experience in housing management, registration management, event registration, or meeting planning
  • Proven experience with rooming list management and web development (CVENT knowledge required)
  • Ability to quickly adapt to and learn new technologies
  • You can juggle multiple projects and solve problems
  • Ability to work independently in the absence of supervision
  • Capability to conduct oneself in a professional and approachable manner at all times
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint
  • Must be able to participate in daily interactions (on camera as required) from your home-based office without disruption
  • Pharma/Medical Device experience preferred
  • CMP and/or HMCC preferred

The salary range for candidates in applicable jurisdictions in the US for the position of Housing Manager is between $57,000 and $63,000. The actual pay depends on your skills, qualifications, experience and geographical location.
