Global Meeting Air Coordinator (Remote)
Full time, United States (must be able to work Eastern or Central Time Zone hours daily)
The Global Meeting Air Coordinator is responsible for the strategic planning and seamless execution of meetings, conferences, conventions, incentive travel programs, and special events for key accounts supported by our Global Client Teams. This role focuses on one major global client project at a time, serving as the primary day-to-day contact for program planning and client communication. Responsibilities include overseeing attendee management, website development, and final program billing, as well as managing global air booking processes, client reporting, and data requirements. The coordinator ensures alignment with both client expectations and internal resources, delivering a high level of service and operational excellence across all assigned group programs.
As a Global Meeting Air Coordinator, you will
- Lead the planning and execution of large-scale meetings, conferences, and conventions with 1,500+ participants, multiple venues, diverse agendas, and on-site travel coordination
- Act as the primary liaison with the client’s event team, managing all participant services and external communications
- Oversee high-level incentive travel programs with multi-million dollar budgets, VIP attendees, and complex logistical requirements
- Manage and reconcile internal and client-facing program budgets, ensuring financial accuracy and transparency
- Maintain the global air manifest by generating daily reports, tracking booking data and special requests, and updating registration tools to reflect real-time status
- Train and mentor new team members, providing ongoing support to ensure consistent service delivery and operational excellence
About you
- Proven experience planning and managing complex meetings, conferences, incentives, and conventions across multiple venues with diverse audiences and agendas
- Skilled in vendor management, including sourcing and negotiating contracts for travel and event services
- Advanced proficiency in GDS Sabre and DecisionSource; Cvent experience preferred
- Strong background in project management, client relations, and cross-functional collaboration
- Hands-on experience with domestic and international group travel logistics, including group bookings, blocked space, and manual ticketing
- Excellent written and verbal communication skills in English

At BCD Travel we value you, our culture and success is defined by you. We carefully consider a wide range of compensation factors, including your professional background and experience. The salary range for candidates in applicable jurisdictions in the US for the position of Global Meeting Air Coordinator is between $64,000 and $80,000. The actual pay depends on your skills, qualifications, experience and geographical location.
