The Senior Meeting Manager is responsible for the development, planning and overall operational execution of complex meetings, conferences, conventions and congresses.  The Senior Program Manager works on a variety of programs simultaneously and serves as the day-to-day planning contact for each respective client.  

 

Core Responsibility 1: Project Management

 

  • Program Development & Execution: Oversee planning and execution of  complex programs, ensuring compliance with timelines and client financial controls.
  • Client Management: Provide valuable advice on best practices, compliance, and cost savings for events.
  • Budget Management: Create and communicate budgets throughout planning, with reconciled final budgets.
  • Vendor Relations: Manage supplier negotiations and relationships, ensuring high service and professional issue resolution.
  • Sourcing & Contracting: Conduct venue research, preliminary budgeting, and manage the e-RFP process.
  • Attendee Management: Track attrition, manage registrations, and oversee communication with hotels regarding room blocks and cancellations.
  • Technology Management: Build client websites for information collection and registration, ensuring compliance requirements are met.
  • Reporting & Compliance: Meet deadlines for reporting, audits, and ensure supplier billing compliance.
  • Process Improvement: Assist in developing SOPs and best practices to enhance operations across regions.

 

Core Responsibility 2: Technology tool

 

  • Experience using Cvent attendee, hotel, RFP, budget and reporting modules
  • Correctly import and maintain attendee data in Cvent
  • Keep data and savings information accurate in Cvent at all times
  • Ensure internal and external reporting requirements are met accurately and on time
  • Oversee the creation and sending of final confirmation details and other communications
  • Maintain an auditable folder structure
  • Receives MRF, assigns Event roles, & creates LSE Event in Cvent as per SOP
  • Correctly imports budgets as required for reporting
  • Oversee accuracy for all assigned projects in the technology tool (Cvent)

Core Responsibility 3: Supplier Relations/Negotiations and Purchasing

 

  • Facilitate internal RFP process after qualification from Meeting Owner.
  • Support Sourcing Manager when required in sourcing destination, hotel and venue options that meet the goals and objectives of the client.
  • Negotiate hotel and venue contracts.
  • Utilize and leverage client’s and BCD M&E preferred hotel agreements when negotiating hotel contracts.
  • Recommend and utilize BCD M&E approved Destination Management Companies (DMC).

Core Responsibility 4: Leadership Support                                                                         

 

  • Training of new team members; provide ongoing support to new team members
  • Cross functional team training as necessary
  • Out of office back up for leadership & team members as necessary 
  • Provide feedback to Operations Managers when coaching is necessary to address challenges and increase service levels  
  • Escalate feedback/suggested changes and process improvements to leadership.
  • Work with leadership to address service challenges and monitor issue resolution.  
  • Work in tandem with other leadership to ensure consistency in delivery and service standards; support other team leaders as necessary.
  • Trouble shoot issues, propose solutions, and escalate to management or Account Manager as needed

Core Responsibility 5: Customer Service & Consultations

 

  • Day to day/main contact with client/decision-maker providing consultative approach to program planning, ensuring the client has identified clear objectives for the outcome of the meeting, conference or program and determine steps to ensure these objectives are achieved.
  • Prepare all documents required for client planning/strategy meetings, program walk through meetings and client debrief meetings.
