As the Regional Congress Delegate Manager, you will be the key player working diligently behind the scenes to ensure every aspect is meticulously organized for healthcare professionals attending different congresses. Your skills in client communication and logistics will be crucial in crafting remarkable experiences. As a Regional Congress Delegate Manager, you will:
- HCP and Supplier Management: Manage communications with Healthcare Professionals, handle local budgets, and ensure proper templates are utilized in collaboration with the Global Operations Team.
- Attendance Coordination: Provide the Attendance Upload template promptly and develop timely communications to meet Service Level Agreements with client meeting owners.
- Vendor Liaison: Coordinate with internal and external vendors for transportation arrangements while adhering to local budget and compliance thresholds.
- Visa and Documentation Support: Ensure all visa requirements are met and assist with necessary documentation for timely applications.
- Technology Proficiency: Use Cvent to manage attendee data, maintain accuracy in reporting, and oversee the creation and distribution of final confirmations.
- Client Communication: Review local budgets for compliance, record Transfer of Value in accordance with regulations, and be the primary contact for logistical arrangements related to congress attendance.
- Adaptability and Additional Responsibilities: Be open to performing additional duties that are inherent to the position as they arise, acknowledging that the job description may evolve over time.
You’re good at:
- Navigating the complexities of event planning with ease and precision.
- Building strong relationships with healthcare professionals and clients.
- Using technology tools like Cvent to streamline attendee management.
- Communicating effectively and professionally to ensure clear understanding.
- Keeping your cool under pressure while juggling multiple tasks.
- You speak fluent English and Spanish. Portuguese is a plus.
- You have at least 2 years of experience in congress or convention planning.
You might also have:
- A college degree, preferably in a related field.
- Solid experience in client management and attendee registration.
- A background in the pharmaceutical industry.
- CMP certification to boost your credibility in the field.
