Job Summary

Execution of end‑to‑end meetings and events: proposals, sourcing, negotiating, contracting, planning, attendee management, onsite execution, reconciliation
-
Ensure sourcing/contracting meets Client expectations (specs, budget, policies)
-
Plan logistics and manage attendees per timeline
-
Travel onsite 15–30% for supplier oversight and service delivery
-
Handle complex meetings requiring high touch and customer service
-
Act as point of contact to educate Event Owners in India
Duties and Responsibilities
-
Client Management: stakeholder engagement, educate stakeholders, increase meeting services volume
-
Sourcing: kickoff calls, venue research, policy communication, budget creation, e‑RFP, availability reports, contracting, cost savings, site inspections, cancellations, creative solutions
-
Vendor Relations: strategic partners, ethical dealings, supplier contracts, RFP guidelines, supplier relationships, destination options, escalate challenges, virtual presentations

Planning: consultative program planning, budget/timeline management, program websites, ancillary contracts, supplier service levels, onsite staff recommendations, attrition/cancellation tracking, payment requests, VIP needs, travel director notes, onsite execution, debriefings, billing reconciliation

Attendee Management: customer service, registration updates, troubleshooting, reporting, room block management, manifests, flight info, quality control of reports, deliver reports to stakeholders

Data Integrity: maintain meeting technology tool data quality

Other: perform additional duties as required

Education / Knowledge / Experience

Bachelor’s degree relevant to role preferred

Experience in end‑to‑end event planning (proposals, sourcing, negotiating, planning, attendee management, onsite execution, reconciliation)

Proven proactive, creative solutions exceeding Client expectations

Ability to lead complex meetings within timelines/budgets
-
Excellent communication, interpersonal, presentation skills
-
Flexible, consultative, independent thinker

High standards of confidentiality and ethics

Ability to work under time pressures and deadlines

Effective at leading cross‑functional/regional teams
-
Proficiency in Mac OS and/or Microsoft Office

Familiarity with group air
Essential Skills and Abilities

Ability to work other shifts/weekends and >40 hrs/week as needed
Travel
