About the role:
As a Junior Meeting Manager, you’ll support a dedicated client in the pharmaceutical / life sciences industry, helping the team deliver compliant, well-organized meetings and events. This is a junior role focused on administrative and coordination support across event planning, Cvent/registration support, and assistance with reconciliation and compliance documentation.
You’ll work closely with Meeting Managers and external partners to keep programs moving—tracking details, maintaining accurate data, and supporting consistent, high-quality delivery.
As a Junior Meeting Manager, your main tasks will be:
- Administrative Support (Core Focus): Provide day-to-day coordination and administrative support across multiple meetings/programs (tracking tasks, maintaining files, organizing meeting materials, updating trackers and timelines).
- Event Planning Support: Assist with logistics such as agendas, attendee communications, supplier information collection, rooming list support, and onsite preparation (where applicable).
- Cvent / Digital Support: Support builds and updates in Cvent (event websites, registration forms, emails/communications) using existing templates and SOPs; help test registration flows and troubleshoot basic issues if needed.
- Attendee & Data Management: Help maintain accurate attendee/registration data, monitor changes, and ensure information is updated and aligned across tools and documentation.
- Reconciliation Support: Assist with gathering invoices/backup, tracking spend, and supporting post-event reconciliation steps in line with client financial controls and internal processes.
- Compliance & Documentation: Support life sciences compliance requirements by maintaining accurate documentation, ensuring required forms/approvals are stored correctly, and helping meet reporting deadlines.
- Team Collaboration & Continuous Improvement: Coordinate with teammates to ensure accuracy and consistency; suggest small process improvements (checklists, templates, file organization) to improve efficiency.
You should have:
- 1+ year of experience in an administrative, coordination, events, travel, or project support role (internships/placements welcome)
- Interest in meetings & events and comfort working in a structured, deadline-driven environment
- Strong attention to detail and ability to follow SOPs and compliance-driven processes
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
- Professional communication skills in English and French (written and verbal)
- Ability to manage multiple priorities and stay organized
Nice to have:
- Exposure to life sciences/pharma environments or compliance-based work
- Hands-on experience with Cvent (or similar event/registration platforms)
- Basic budgeting, invoice tracking, or reconciliation support experience
- Willingness to travel up to 25% (domestic/international), depending on program needs
What success looks like in this role:
- Accurate, timely updates to trackers, documentation, and Cvent components
- Reliable support to planners/project managers that improves speed and quality
- Strong compliance discipline and excellent attention to detail
The salary range for the role is between 35.000 euro and 39.000 euro gross per year. The actual pay will depends on your qualifications, skills and experience.

En tant que Junior Meeting Manager, vous serez dédié à un client du secteur pharmaceutique, en aidant l’équipe à organiser des réunions et des événements conformes et bien structurés. Il s’agit d’un poste junior, axé sur le support administratif et la coordination d’événements, support avec Cvent/inscriptions, ainsi que l’aide à la réconciliation et à la documentation de conformité.
Vous travaillerez en étroite collaboration avec les Meeting Managers et des partenaires externes afin d’assurer la bonne avancée des programmes: suivi des détails, maintien de données fiables et contribution à une exécution constante et de qualité.
En tant que Junior Meeting Manager, vous devrez:
- Support administratif (mission principale): assurer au quotidien la coordination et le support administratif de plusieurs réunions/programmes (suivi des tâches, gestion et mise à jour des dossiers, organisation des supports de réunion, mise à jour des tableaux de suivi et des plannings).
- Support à la planification d’événements: assister sur la logistique (agendas, communications aux participants, collecte d’informations auprès des fournisseurs, soutien pour les rooming lists, préparation onsite si nécessaire).
- Support Cvent / digital: contribuer aux créations et mises à jour dans Cvent (sites événementiels, formulaires d’inscription, e-mails/communications) à l’aide des modèles et SOP existants ; aider à tester les parcours d’inscription et résoudre des problèmes simples si nécessaire.
- Gestion des participants & des données: contribuer au maintien de données participants/inscriptions exactes, suivre les changements et s’assurer que les informations sont à jour et cohérentes entre les outils et la documentation.
- Support à la réconciliation: aider à rassembler les factures et justificatifs, suivre les dépenses et contribuer aux étapes de réconciliation post-événement, conformément aux contrôles financiers du client et aux processus internes.
- Conformité & documentation: soutenir les exigences de conformité du secteur sciences de la vie en maintenant une documentation précise, en s’assurant que les formulaires/validations requis sont correctement enregistrés, et en contribuant au respect des délais de reporting.
- Collaboration & amélioration continue: coordonner avec les membres de l’équipe pour garantir l’exactitude et la cohérence ; proposer de petites améliorations de processus (checklists, modèles, organisation des dossiers) afin de gagner en efficacité.
Vous auriez dû:
- Expérience dans un rôle de support administratif, coordination, événements, voyages ou support projet (1 an ou plus, stages/alternances bienvenus)
- Un intérêt pour les réunions & événements, et une aisance dans un environnement structuré, avec des délais
- Un excellent sens du détail et la capacité à suivre des SOP et des processus orientés conformité
- Une bonne maîtrise de Microsoft Office (Outlook, Excel, PowerPoint)
- Maîtrise du français et de l’anglais en communication orale et écrite
- La capacité à gérer plusieurs priorités et à rester organisé(e)
Vous pourriez aussi avoir :
- Expérience sur un client des sciences de la vie
- Maîtrise du Cvent (ou d’une plateforme similaire de gestion d’événements/inscriptions)
- Une première expérience en budget, suivi de factures ou support à la réconciliation
- Jusqu’à 25 % de déplacements (nationaux et internationaux) peuvent être requis
La rémunération pour ce poste se situe entre 35 000 et 39 000 euros bruts par an. Le salaire exact dépendra de vos qualifications, compétences et expérience.
