Event Coordinator
Sydney, Australia
This role will work closely with our internal Event Managers to assist in executing our client's corporate meetings, conferences, incentive travel programs and special events.
As an Event Coordinator, you will work with our Event Managers and Sales Leaders on a variety of projects and event elements from venue sourcing, budget creation, registration website development, delegate management and onsite event planning.
Your responsibilities:
· Work with customers to develop, coordinate and implement their meetings, incentives and events
· Create and develop meeting timelines & meet deadlines accordingly
· Assist with program delegate/data management processes including verification of data integrity and reporting
· Negotiate hotel and venue contracts utilizing and leveraging BCD M&E/Clients preferred hotel agreements
· Develop and conduct site inspections as required
· Work with suppliers to achieve overall cost savings percentage for clients
· Assist in developing registration web sites; proofread, present and gain approval
· Coordinate day-to-day internal program budgets, present to manager for review
· Work closely with management and finance to ensure billing timelines are met
· Ensure the timely payment of all supplier/vendor bills and oversee the invoice payment of deposits to ensure payments are received on time. Follow up with relevant departments as needed to address late payments
· Execute onsite event planning (interstate and overseas travel required at times)
· Hybrid working arrangement
We’re looking for you if your profile matches the following:
Essential
· 1-2 years proven event experience in planning meetings, incentives and conferences
· Previous experience with event management related software, preferably Cvent
· GDS knowledge an advantage but not essential
· Event management qualification will be highly regarded
· Proficient in Microsoft Office applications
· Pharmaceutical meeting experience would be highly regarded
