About the Role:
Join our dynamic team as an Event Compliance & Finance Assistant and play a vital role in managing financial processes for our Strategic Meetings Management clients! This position is ideal for someone who loves numbers and enjoys collaborating with cross-functional teams to ensure smooth operations. As the go-to expert for billing, reconciliation, and transparency reporting, you’ll significantly impact our clients' success!
As an Event Compliance and Finance Assistant, you will:
- Review invoices for accuracy and process payments promptly.
- Prepare final billing according to client policies and internal procedures.
- Track progress on reconciliations and join weekly finance calls to update the finance team.
- Partner with clients to manage and maintain post-program reconciliation, transparency reporting, data collection, compliance rules, and specific spend caps.
- Resolve any discrepancies with suppliers and clients.
- Perform audit and file close-out procedures for every meeting.
- Set up regular training refreshers on processes, Transfer of Value (TOV), and compliance.
- Assist in disseminating changes in client compliance requirements to the operations team, ensuring adherence to standard operating procedures for payment guidelines.
- Assist the Senior Project Accountant & Compliance Manager in following up on outstanding client invoices with finance.
- Collaborate with the Compliance team to identify industry trends for spend capture, reporting, and technology options.
You’re Good At:
- Preparing final billings and ensuring timely submissions in line with client policies.
- Reconciling hotel bills and vendor invoices accurately.
- Efficiently resolving discrepancies with suppliers and clients.
- Managing commission tracking and collection as a liaison.
- Organizing and maintaining financial records and documentation.
- Analysing data with a problem-solving mindset.
- Working within Service Level Agreements, Standard Operating Procedures, and compliance deadlines.
You Might Also Have:
- Previous experience in Pharma compliance or event budgeting.
- Familiarity with the travel or hotel industry.
- Proficiency in Microsoft Office Suite.
- Strong written and verbal communication skills.
- The ability to work independently and manage multiple deadlines.

You Should Know:
- This is a UK remote-based role.
- Standard working hours are 09:00 – 17:30 with a one-hour break.
- You must have the right to work in the UK.
- Occasional travel within the UK and overseas may be required.
