About the role:
We’re looking for a Commercial Education Meeting Planner to join our dynamic team! In this client-facing role, you’ll lead the planning and execution of impactful training programs and events across live, virtual, and hybrid formats. Acting as the main point of contact for your client, you’ll manage every detail — from venue sourcing and registration to budget reconciliation and on-site execution — ensuring every experience runs flawlessly and leaves a lasting impression.

As a Meeting Planner you will:
- Act as the main point of contact for your client and ensure all milestones, objectives, and deliverables are clearly communicated and met. Be consultative in your approach. Afterall, you are an expert in event management!
- Develop planning call agendas, schedule and lead planning calls with internal teams and stakeholders.
- Build and maintain strong relationships with preferred suppliers to secure the best services and pricing.
- Collaborate with cross-functional teams to ensure smooth coordination across all phases of the event lifecycle.
- Create Cvent websites and manage registration, communications, and surveys and provide updates in real time.
- Oversee all logistical elements including venue sourcing, travel, catering, audiovisual production, staging, and transportation.
- Develop, monitor, and reconcile event budgets to maintain accuracy, transparency, and accountability.
- Identify cost-saving opportunities while maintaining high-quality event delivery standards.
- Provide hands-on leadership during live programs, managing all aspects of on-site execution.
- Uphold company and industry compliance standards, ensuring all activities meet corporate, legal, and ethical guidelines.
- Maintain professionalism, attention to detail, and consistent representation of the brand at all times.
You’re good at:
- Communicating confidently and professionally across all levels of an organization.
- Managing multiple priorities in a fast-paced environment with calmness and focus.
- Building strong, collaborative relationships with clients, colleagues, and vendor partners.
- Using Cvent, Excel, and Microsoft Office Suite to keep projects organized and efficient.
Required Qualifications:
- 3+ years of experience in meeting/event planning—ideally in healthcare, life sciences, or commercial education.
- Proficiency in Cvent and strong command of Microsoft Office Suite; Adobe Creative Suite preferred.
- Demonstrated expertise in budget management, vendor negotiations, and on-site event execution.
- Strong communication and stakeholder management skills, with the ability to lead planning calls and provide strategic recommendations.
- Exceptional attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment.
- Flexibility to travel and work extended hours during live event days.
You should know:
- This hybrid role is based in Palm Beach Gardens, Florida.
- Our standard working hours are 8:30 AM -5:30 PM (Eastern Time Zone) with an hour break.

We carefully consider a wide range of compensation factors, including your professional background and experience. The salary range for candidates in applicable jurisdictions in the US for the position of Commercial Education Meeting Planner is between $57,000 - $70,000. The actual pay depends on your skills, qualifications, experience, geographical location, and project budget.
