En tant que Chef de Projet Meetings, vous serez la personne de référence pour donner vie aux événements clients — de la recherche des lieux de rêve à la garantie que chaque détail soit parfait. Vous jonglerez avec des projets passionnants, travaillerez étroitement avec vos clients et verrez votre travail prendre vie dans des lieux uniques. Vous travaillerez simultanément sur divers programmes et serez le contact quotidien pour la planification de chaque organisateur client respectif.
En tant que Chef de Projet Meetings, vous devrez :
• Développement et exécution des programmes : Superviser la planification et l’exécution des programmes, en veillant au respect des délais et des contrôles financiers clients.
• Gestion client : Fournir des conseils précieux sur les meilleures pratiques, la conformité et les économies de coûts lors des événements.
• Gestion budgétaire : Créer et communiquer les budgets tout au long de la planification, avec des budgets finaux conciliés.
• Relations avec les fournisseurs : Gérer les négociations et relations avec les fournisseurs, en assurant un service élevé et une résolution professionnelle des problèmes.
• Approvisionnement et contrat : Mener des recherches sur les lieux, budgétiser préliminaire et gérer le processus de propositions électroniques.
• Gestion des participants : Suivre les pertes, gérer les inscriptions et superviser la communication avec les hôtels concernant les blocages de chambres et les annulations.
• Gestion technologique : Créer des sites web clients pour la collecte et l’enregistrement des informations, en veillant à ce que les exigences de conformité soient respectées.
• Reporting & Conformité : respecter les délais de rapports, audits et garantir la conformité à la facturation des fournisseurs.
• Amélioration des processus : Aider à l’élaboration de procédures opérationnelles standard et de bonnes pratiques pour améliorer les opérations dans les différentes régions.
Vous auriez dû :
• Solide expérience en planification de réunions ou de programmes
• Expérience sur un client des sciences de la vie
• Maîtrise des applications Microsoft Office
• Maîtrise du Cvent
• Industrie du voyage et connaissances sur les destinations
• Jusqu’à 25 % de déplacements (nationaux et internationaux) peuvent être requis
Vous pourriez aussi avoir :
• Capacité à établir des partenariats solides avec les clients, prospects, fournisseurs et pairs, et démontrer une connaissance des pratiques fournissant service et soutien.
• Travailler de manière autonome et être adaptable, y compris la volonté de voyager pendant les heures de pointe pour la gestion sur site des clients et des lieux

About the role:
Ready to plan unforgettable experiences? As our Project Manager - Meetings, you'll be the go-to person for bringing client events to life—from sourcing dream venues to making sure every detail runs perfectly. You’ll juggle exciting projects, work closely with clients, and see your work come to life in unique destinations.
You will work on a variety of programs simultaneously and will serve as the day-to-day planning contact for each respective Client Event Organizer.
As Project Manager - Meetings, you will:
- Program Development & Execution: Oversee planning and execution of programs, ensuring compliance with timelines and client financial controls.
- Client Management: Provide valuable advice on best practices, compliance, and cost savings for events.
- Budget Management: Create and communicate budgets throughout planning, with reconciled final budgets.
- Vendor Relations: Manage supplier negotiations and relationships, ensuring high service and professional issue resolution.
- Sourcing & Contracting: Conduct venue research, preliminary budgeting, and manage the e-RFP process.
- Attendee Management: Track attrition, manage registrations, and oversee communication with hotels regarding room blocks and cancellations.
- Technology Management: Build client websites for information collection and registration, ensuring compliance requirements are met.
- Reporting & Compliance: Meet deadlines for reporting, audits, and ensure supplier billing compliance.
- Process Improvement: Assist in developing SOPs and best practices to enhance operations across regions.
You should have:
- Sound experience in meeting/program planning experience
- Experience on a Life Sciences client
- Proficiency in Microsoft Office applications
- Proficiency in Cvent
- Travel industry and destination knowledge
- Up to 25% travel (both domestic and international) may be required
You might also have:
- Ability to establish strong partnerships with clients, prospects, vendors and peers and demonstrates knowledge of practices that provide service and support.
- Work independently and be adaptable, including willingness to travel during peak times for onsite client and venue management
