Ancillary Meeting Manager

 

Job Description  
The Ancillary Meeting Manager is responsible for the budgeting and organization of ancillary meetings in conjunction with Congresses, focusing on client engagement, event logistics, and vendor management.

 

As an Ancillary Meeting Manager you will: 

  • Manage ancillary meetings related to Congresses  
  • Handle attendee management processes and registrations  
  • Ensure compliance with client financial and logistics policies  
  • Liaise with clients on logistical arrangements and respond to inquiries  
  • Review supplier invoices and ensure accurate billing  
  • Prepare budgets and maintain documentation for audits  
  • Seek process improvements aligned with client strategies  

 

You're good at:

  • Strong negotiation and organizational skills  
  • Managing multiple programs and tasks simultaneously  
  • Providing exceptional customer service  
  • Communicating effectively both verbally and in writing  
  • Problem-solving and making informed decisions  

 

You might also have:

  • At least three years of experience managing ancillary meetings for Congresses  
  • Background in account/client management and vendor negotiations  
  • Experience in the pharmaceutical industry or event planning  
  • Proficiency in Microsoft Office and knowledge of travel industry dynamics  
  • International experience is a plus  

 

You should know:

  • This is a virtual role
  • The hours for this position are 8:30 - 5:30 ET, with an hour lunch break
  • Travel is 25% or less

We carefully consider a wide range of compensation factors, including your professional background and experience. The salary range for candidates in applicable jurisdictions in the US for the position of Ancillary Meeting Manager  is between $57,000 - $68,000.  The actual pay depends on your skills, qualifications, experience, geographical location, and project budget.
