About the Role
If you love keeping details organized and helping meetings come together smoothly, this role might be your sweet spot. As a Meeting Coordinator, you’ll support internal meetings from kickoff to closeout by managing registration, materials, logistics, and program data. You’ll partner closely with Meeting Planners, help keep timelines on track, and serve as a go-to contact for attendee and stakeholder questions. It’s a great fit for someone who enjoys fast-moving work, clear communication, and making sure nothing slips through the cracks.
You’re Good At
- Keeping multiple projects, timelines, and moving pieces organized without losing sight of the details
- Managing attendee registration, list updates, confirmations, reminders, cancellations, and special requests with accuracy
- Creating and maintaining reports, trackers, and program information in systems like Excel and project management tools
- Communicating clearly and professionally with teammates, attendees, and stakeholders
- Staying calm under pressure, solving routine issues, and knowing when to escalate for support
You Might Also Have
- A BS/BA degree
- A background or education in the meetings and events industry
- Experience with Cvent (preferred)
- Confidence working in Microsoft Word and Excel, including generating reports
- A natural interest in program data management, logistics, and process-driven work
You Should Know
- This role is fully virtual
- This role operates on Eastern Standard Business Hours
- This role does travel, up to six times annually to support larger programs onsite

Travel requirements for this role are as follows:Less than 25%
We carefully consider a wide range of compensation factors, including your professional background and experience. The salary range for candidates in applicable jurisdictions in the US for the position of Meeting Coordinator is between $52,500 - $67,000. The actual pay depends on your skills, qualifications, experience, geographical location, and project budget.
